The Event Toolkit is your guide to making yours count.

Whether you’re planning your first Student Club event or delivering a major School conference, our toolkit walks you through every stage. It starts with the most import questions around deciding whether an event is the right approach, through to measuring its impact afterwards.

It’s built on the collective experience of the teams who deliver world-class events on our campus every week.

What's in the toolkit

The toolkit covers 12 sections that follow the lifecycle of an event:

  1. Event necessity and definition - Is an event the right approach?
  2. Event strategy and objectives - Setting SMART goals and understanding your audience
  3. Project management and timelines - Building your team, timeline, and risk plan
  4. Budget planning and sponsorship - Managing finances, funding sources, and sponsorship
  5. Venue and logistics planning - Booking space, working with Campus Services, and the Key Events process
  6. Speaker management - Finding, securing, and briefing speakers
  7. Registration and attendee management - Platforms, ticketing, data protection, and GDPR
  8. Promotion, communications and PR - Getting the word out and accessing central support
  9. Accessibility and inclusivity - Creating events where everyone belongs
  10. Pre-event final preparations - Checklists, rehearsals, briefings, and contingency plans
  11. On-the-day management - Running your event with confidence
